1. Who we are
Qaswara is a digital development service operating from the Sultanate of Oman. In this policy, “Qaswara”, “we”, “us”, and “our” refer to the service provider identified in the quotation or invoice issued to you.
For personal data processed through this website and our project channels, Qaswara acts as the data controller.
2. Information we collect
Information you provide
- Your name, contact number, and any contact details you choose to share.
- Project information, including the system name, project type, requirements, examples, budget, timeline, and additional details.
- Messages, files, approvals, feedback, and support communications sent through WhatsApp, Discord, or another agreed channel.
- Billing and transaction information required to prepare quotations, invoices, and payments.
Discord sign-in information
If you choose Discord, we request the basic identify permission and may receive your Discord user ID, username, display name, and avatar reference. We use this information to authenticate you and create or route your support or project ticket.
Technical information
Our hosting environment may record an IP address, browser and device information, requested pages, access times, referring page, and security or error logs. We may also process essential session identifiers needed for site functions.
Payment information
When online payments are enabled, we may receive the amount, currency, transaction reference, payment status, and limited payer details from the payment provider. Full card or bank credentials are processed by the licensed payment provider and are not stored by Qaswara on this website.
3. How and why we use information
We process information only for a clear business or legal purpose, including to:
- Respond to enquiries and prepare a quotation, scope, or project plan.
- Process your project request, deliver milestones, and provide support.
- Authenticate Discord users and create project or support tickets.
- Process payments, issue invoices, prevent fraud, and maintain financial records.
- Operate, secure, troubleshoot, and improve the website and our services.
- Comply with applicable law, lawful requests, and dispute-resolution obligations.
Depending on the situation, processing is based on your consent, your request for a service, compliance with a legal obligation, or our legitimate interest in operating and securing the service. You may withdraw consent at any time, without affecting processing already carried out lawfully.
4. Sharing and international transfers
We do not sell or rent your personal information. We share it only where necessary with:
- Service providers that support hosting, infrastructure, communications, accounting, security, or project delivery.
- WhatsApp/Meta or Discord when you choose those channels. Their own privacy terms also apply.
- Licensed banks, payment gateways, or payment service providers when you make a payment.
- Professional advisers, public authorities, or courts where required by law or necessary to establish or defend legal rights.
Some providers may process information outside Oman. Where this occurs, we take reasonable steps to use appropriate legal, technical, and organizational safeguards.
5. Cookies, local storage, and retention
The website currently uses only functionally necessary storage:
- An essential PHP session cookie when Discord authentication is used.
- Session storage to preserve a project-form draft during the Discord sign-in redirect.
- Local storage to remember your Arabic or English language choice.
We do not currently use advertising cookies or behavioral advertising. If analytics or non-essential cookies are introduced, this policy and the consent controls will be updated before they are used.
We retain personal information only for as long as needed for the purpose collected and any legal, accounting, security, or dispute period. Enquiries that do not become projects are ordinarily reviewed for deletion or anonymization within 24 months after the last meaningful contact. Project, invoice, and transaction records may be kept for the period required by applicable law.
6. Your choices and rights
Subject to applicable law, you may ask to access, correct, update, or delete your personal data; receive information about its processing; object to or restrict certain processing; or withdraw consent. You may also raise a concern about a suspected misuse or data breach.
Some information cannot be deleted immediately where it is needed to deliver a requested service, maintain legally required records, protect security, or resolve a dispute. We will explain any such limitation.
7. Security, external services, and children
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information. No internet transmission or storage system can be guaranteed completely secure, so please avoid sending passwords, private keys, or unnecessary sensitive information through the project form.
Links and integrations operated by third parties are governed by their own terms. Our services are intended for adults and organizations. We do not knowingly collect personal data from children under 18 without authorization from a parent or legal guardian.
8. Contact and policy updates
We may update this policy when our services, payment methods, or legal duties change. The effective date at the top shows the latest version. Material changes will be highlighted where reasonably possible.
